Privacy Policy
Last updated: 1 July 2025 · Outlier Search Pty Ltd · ABN 91 702 569 944
Outlier Search Pty Ltd (ABN 91 702 569 944), trading as Outlier Search (“we”, “us” or “our”), provides recruitment and search services to employers and job candidates, primarily in Perth and across Western Australia. This policy explains how we collect, hold, use and disclose personal information, and the rights you have in relation to it.
We are bound by the Privacy Act 1988 (Cth) (the Privacy Act) and the 13 Australian Privacy Principles (APPs) contained in it. We handle personal information in accordance with those obligations and this policy, which applies to all of our services and our website at outliersearch.site.
1. The personal information we collect
The kind of information we collect depends on your relationship with us.
Candidates. We may collect your name, residential address, email address and other contact details you provide; your CV and employment history; details of your education, qualifications, licences and professional memberships; information about your skills, remuneration history and expectations, work availability and career goals; the details of your referees; and, where relevant to a role, information about your right to work in Australia (such as visa status).
Clients, contractors and suppliers. We may collect the name, position, work email address and business contact details of the people who represent them.
Website visitors. We may collect technical information such as your IP address, browser type, the pages you view and the links you click, generally in aggregated form.
2. How we collect personal information
- directly from you, through our website enquiry and quote forms, by email (ceo@outliersearch.site), during interviews and consultations, and through reference checks and assessments in which you take part;
- from third parties, such as your nominated referees, current or former employers (with your consent), professional networking platforms such as LinkedIn, and publicly available sources; and
- from client representatives and service providers involved in a search or placement.
Where reasonable and practicable, we collect personal information directly from you, and only by lawful and fair means. If we receive unsolicited personal information that we could not have collected under APP 3, we will destroy it or de-identify it in accordance with APP 11 where required.
3. Why we collect personal information
We collect, hold and use personal information to:
- assess the suitability of candidates for advertised roles and retained search mandates;
- present candidate profiles to prospective employers, generally with the candidate’s consent;
- verify qualifications, licences, memberships and right-to-work status;
- manage our relationships with clients, candidates, referees and suppliers;
- administer placements, contracts and payments;
- operate, secure and improve our website and services;
- market our services where permitted (see section 10);
- comply with our legal and regulatory obligations, including record-keeping and workplace law requirements; and
- carry out internal analysis, reporting and business development.
If we do not collect information that is reasonably necessary for these purposes, we may be unable to provide our services to you or consider you for a role.
4. Sensitive information, government identifiers and anonymity
We will not collect sensitive information (such as health information, criminal history or membership of a professional or trade association) unless it is reasonably necessary for our recruitment functions, is permitted under the Privacy Act, and you have consented — for example, where a role requires a licence verification, pre-employment medical, working-with-children clearance or national police check, always with your knowledge.
We do not use government identifiers (such as tax file numbers) as our own identifier. We collect such identifiers only where reasonably necessary and authorised, for example where a client’s onboarding or compliance process requires them.
Where it is lawful and practicable, you may deal with us anonymously or using a pseudonym — for instance, when making a general enquiry about our services. To progress a recruitment placement, however, we will generally need your identity details.
5. When we disclose personal information
We may disclose personal information to:
- prospective employers and clients, where you have consented to being submitted for a role;
- referees and screening providers engaged to verify your background at our or a client’s request;
- service providers who support our operations, including IT and cloud hosting providers, secure data storage providers, email and productivity platforms, and professional advisers such as lawyers and accountants — all of whom are bound by confidentiality and privacy obligations;
- related entities and, where relevant, business partners involved in a placement;
- government agencies, regulators, courts and law enforcement bodies, where required or authorised by law, or to establish, exercise or defend a legal claim; and
- anyone else to whom you have given your consent.
We do not sell personal information, and we do not disclose it for others’ direct marketing without consent.
Overseas disclosure
Some of our service providers may store or process personal information outside Australia, including through cloud hosting located in the United States or Singapore. Where an overseas disclosure is likely, we take reasonable steps, such as contractual safeguards, to ensure the recipient handles the information in a manner consistent with the APPs. You may contact us at ceo@outliersearch.site for details of the countries involved.
6. Data quality, security and retention
We take reasonable steps to ensure the personal information we hold is accurate, complete and up to date, and to protect it from misuse, interference and loss, and from unauthorised access, modification or disclosure. These steps include role-based access controls, encrypted connections, secure storage systems and staff confidentiality obligations.
We retain personal information only for as long as it is needed for the purposes described in this policy, or as required by applicable record-keeping, employment and taxation laws. When information is no longer required, we take reasonable steps to destroy it or de-identify it in a secure manner.
7. Notifiable data breaches
If we become aware of an eligible data breach that is likely to result in serious harm to any individual whose information we hold, we will promptly assess the breach and, where required under Part IIIC of the Privacy Act, notify the affected individuals and the Office of the Australian Information Commissioner (OAIC), including with recommendations about the steps you can take in response.
8. Access to and correction of your personal information
You may request access to the personal information we hold about you, or ask us to correct information that you believe is inaccurate, out of date, incomplete, irrelevant or misleading, by emailing ceo@outliersearch.site. To protect your privacy, we may ask you to verify your identity before actioning a request.
We will respond within a reasonable period. Where we agree to correct information, we will also take reasonable steps to notify other parties to whom we have disclosed it, if asked. In the limited circumstances set out in APP 12 and APP 13, we may decline a request; if so, we will explain our reasons and how you can complain.
9. Cookies and website analytics
Our website uses cookies and similar technologies to enable essential functions such as navigation and form submission, and to gather aggregated analytics about how visitors use the site — for example, which pages are most viewed. This helps us improve the website experience.
Most browsers allow you to refuse or delete cookies through your settings; doing so may affect some website functionality. We do not use cookies to build individual advertising profiles.
10. Direct marketing
We may send you information about our services, market insights or relevant opportunities where you have consented or where APP 7 otherwise permits. Every marketing communication we send includes a simple way to opt out. You can also opt out at any time by emailing ceo@outliersearch.site with the subject line “Unsubscribe”, and we will action your request promptly.
11. Employee records
Personal information held in relation to a current or former employment relationship with us, contained in an employee record, is generally exempt from the APPs under the Privacy Act. We nonetheless treat such records with appropriate care and confidentiality.
12. Questions, complaints and contact
